What is considered a cancellation, no show, same day change, or same day reschedule ?
All of the below will have a fee associated and we will not be able to accommodate the visit that day
If you cancel after 1pm the business day before, or if you cancel any time the day of, your visit.
If You cancel with less then 1 business day notice, or do not show up for your visit. (changes must be before 1pm)
If you re-schedule on the same day as your visit date.
If you are more then 15 minutes late for your visit.
If you reschedule with less then 1 business day advance notice (1pm is the cutt off) - we need to hear from you before 1pm the business day before.
Cancelling over weekends, overnight, or past 1pm, the day before your visit are processed the next business day and are done so as a no show.
This policy is in place so that we can protect visit spots for patients that need them.
What happens?
We have a no show fee of 35$ that the patient will have to pay and/or if you have not been to the Houston clinic ever before you may not be able to schedule with us.
If you are over 15 minutes late we are often not able to see you and it will be considered a no show.
Please note any schedule changes have to be one business day in advance before 1pm.
Can I cancel, reschedule, or contact the clinic via text?
Sorry, we do not monitor text messages.
Cancellations are taken by phone or (if you scheduled online) you can cancel/reschedule online. Online cancel and reschedule business day 1pm cut offs are the same as by phone.
Why we do this?
We try to preserve spots for patients that need them.
We have many patients that need to get in urgently.
If you take a spot you, you block it for others who can not be seen.
If you do not give enough notice, we can not fill the spot and others wait longer and suffer more from this action.
If you show up more then 15 minutes late, it puts the schedule back at least 30 minutes. We try very hard to get every patient seen within a few minutes of the scheduled time and this often can not happen if check ins occur 15 minutes late.
We try hard to not double book, overbook, or keep our patients waiting for prolonged period of times in the waiting room. As a result, this provides improved access and a better medical experience for everyone. You do not loose half your day at the doctors office.
However, this also produces significant burden to our clinic, and patients, if you do not show or forget to cancel in advance. While we accept most of the financial and logistical costs with providing efficient visits to our patients, we do impose a no show policy with no show fees to help maintain access for patients that need our services. This policy is described in detail on our website, and we are only billing a small fraction of the actual costs of missed visits.
